About the role and team

  
The Deputy Secretary Co-ordinator will line manage the secretaries of one or more teams the Private Client department in the application of all organisation policies and procedures and ensuring the Secretarial Service Standards are consistently met and improved. Key tasks are:
 
  • Deliver comprehensive and proactive secretarial support to assigned fee earners
  • Regularly communicate with the department’s Secretary Co-ordinator and keep them appraised of any issues around capacity or performance within the team
  • Regularly communicate with, and seek feedback from, the Department Manager and fee earners regarding the secretarial support being delivered
  • Monitor and improve as necessary, secretarial working practices and processes to ensure these are as efficient as possible
  • Responsibility for sickness absence management in accordance with the organisation policy
  • Responsibility for performance management in accordance with the organisation strategy
  • Continually monitor secretarial support levels within the team to ensure there is sufficient support, monitoring and approving holiday requests
  • Responsible for the recruitment process of new secretaries, including seeking approval
  • Conduct regular formal reviews of secretaries, setting objectives that are SMART, building firm, department and team priorities into objectives as appropriate
  • Identify individual and group training needs and co-ordinate the provision of relevant training through the relevant department
  • Meet regularly with the CMT Managers and Secretary Co-ordinators to address general issues and work on relevant ad hoc projects
  • Meet regularly with Department Manager to proactively address issues at the earliest opportunity
  • Monitor workflow, holiday and absence, and arrange cover for the team when necessary, liaising with other Secretary Co-ordinators and Head of Secretarial Services
  • Deputising for the Secretary Co-ordinator when necessary, liaising with Head of Secretarial Services, Department Manager or HR as appropriate in the handling of any issues in the Secretary Co-ordinator’s absence
  • Any other reasonable duty as requested
